APPOINTMENT POLICIES

BOOKING, CANCELLATION, RESCHEDULING & REFUND POLICY

1. Booking and Payment

All RTT® sessions and appointments must be booked in advance. Payment of the full session fee is required at the time of booking in order to reserve and confirm the appointment.

By submitting payment and booking an appointment, the client acknowledges that appointment time is reserved specifically for them and that preparation and administrative time may be incurred in advance of the scheduled session.

Payment constitutes the client's agreement to the terms and conditions set out in this Booking, Cancellation, Rescheduling & Refund Policy.

2. Non-Refundable Payment

All payments made to reserve an RTT® session are non-refundable, subject to any rights or remedies that may apply under applicable law.

The payment reserves a specific appointment time and compensates for time allocated to the client, including scheduling, administrative requirements, and preparation associated with the session.

Accordingly, payments will not ordinarily be refunded in the event of:

  • cancellation by the client;

  • failure to attend a scheduled appointment;

  • a missed or abandoned session;

  • cancellation with less than 24 hours' notice; or

  • a decision by the client not to proceed with the session.

Nothing in this policy is intended to exclude or limit any consumer rights that cannot legally be waived or excluded under applicable legislation.

3. Rescheduling

A client may request to reschedule a scheduled appointment one (1) time, provided that the request is received at least 24 hours before the scheduled appointment time.

Rescheduling requests must be made by email, telephone, or text message.

Any request to reschedule received less than 24 hours before the scheduled appointment may be declined at the practitioner's discretion. If the appointment is not rescheduled, the payment will be forfeited and no refund will be issued.

A rescheduled appointment must be mutually agreed upon and is subject to availability.

4. Cancellation by the Client

If a client wishes to cancel an appointment, they are requested to provide as much notice as reasonably possible.

Cancellation must be communicated by email, telephone, or text message at least 24 hours before the scheduled appointment time.

Cancellations made with less than 24 hours' notice will result in forfeiture of the payment and no refund will be issued, subject to any rights that may apply under applicable law.

Where a client cancels an appointment and chooses not to reschedule, the payment will be forfeited.

5. Missed Appointments and Late Arrival

If a client fails to attend a scheduled appointment without providing the required notice, the appointment will be considered a missed appointment, and the payment will be forfeited.

Late arrival may reduce the amount of time available for the session. Where a client's late arrival prevents the session from being completed within the scheduled appointment time, the practitioner reserves the right to conclude the session at the originally scheduled end time.

A missed appointment or late arrival does not automatically entitle the client to a refund, credit, replacement appointment, or extension of the scheduled session.

6. Payment Terms

Unless otherwise agreed in writing, the applicable session fee must be paid in full before the scheduled session.

An appointment is not considered confirmed until the required payment has been received.

Where an alternative payment arrangement has been expressly agreed upon, the client remains responsible for payment in accordance with the agreed terms.

7. Practitioner Cancellation or Rescheduling

In the event that the practitioner is required to cancel or reschedule an appointment, reasonable efforts will be made to provide the client with as much notice as possible.

Where a session is cancelled by the practitioner and cannot reasonably be rescheduled, the client will be entitled to a refund of any payment made for that specific session, unless otherwise agreed between the parties.

8. Exceptional Circumstances

The practitioner recognizes that circumstances may occasionally arise that are outside a client's reasonable control.

Requests for exceptions to this policy may be considered on a case-by-case basis and are entirely at the practitioner's discretion, unless otherwise required by applicable law.

An exception granted in one circumstance does not create an obligation to grant an exception in any future circumstance.

9. Acknowledgement and Agreement

By booking an RTT® session and submitting payment, the client confirms that they have:

  • read and understood this Booking, Cancellation, Rescheduling & Refund Policy;

  • had the opportunity to ask questions regarding the policy;

  • understood the cancellation and rescheduling requirements;

  • understood that payments are non-refundable except where otherwise required by applicable law; and

  • voluntarily agreed to be bound by this policy.

The client acknowledges that the appointment time is reserved specifically for them and that failure to provide the required notice may result in the loss of the payment associated with that appointment.

10. Purpose of the Policy

This policy is intended to provide clarity and consistency for both the client and practitioner while recognizing the time, preparation, scheduling, and professional resources committed to each appointment.

The policy is also intended to ensure that appointment availability is managed fairly and consistently for all clients.

By booking an appointment and submitting payment, the client acknowledges and agrees to the terms of this Booking, Cancellation, Rescheduling & Refund Policy.
